Members present:  Sally Ingram, Christi Neal, Paul Vance, and Bobby Neal, moderator, were present. Bobby opened the meeting with prayer.  Sally shared a devotional concerning the Luce’s moving experience.  Minutes of the 4-5-16 meeting were approved.

Old Business:                          
·        Alarm System additions – No report at this time. 
·        Brightergy/Sunny Portal – Data through April indicates everything is functioning properly, and our energy output is slightly above average compared to years past.
·        South Fence Repair – Scouts are waiting for warmer weather as opportunity exists.
·        Narthex Information Screen – Bill Melewski and Bobby Neal will meet again to finalize recommendations and then present this information to Pastor Pat.
·        Handrail at South Entrance – No report at this time.  Gary Oberlander will finish the project upon completion of travels.
·        Roof Repair – Gary will be contacting commercial roofers for bids.  Hoot Mann will be consulted as to possible vendors.  Paul continues to monitor and collect rainfall in various places in the building.
·        Lighting of Pulpit/Lectern – This project has been tabled at this time.  Bill has met with representatives from Progressive and their affiliates.  Providing more lighting for the pulpit and lectern will be more involved and expensive than we can address at this time.  Options will continue to be discussed and explored.
·        Scouts’ Use of Building – Restroom lights are still left on at times, and doors have been left unsecured.  Also, tables and floors are not always cleaned up after use.  Gary will facilitate both the Boy Scouts and Girls Scouts’ awareness of these challenges.
·        Lawn Mower – No replacement was needed.  A replacement fuse was all that was needed for repair.
·        Burchett Tree Replacement – Committee members voted to purchase a Japanese Maple tree, and this will be financed by the Burchett family.  Members hope to have a company both provide and plant the tree.  The old stump will be removed by volunteers.
·        Old Paint – Paul will find a place to properly dispose of our old paint.

New Business:
·        Weed Eater – Paul purchased a new one for the church using funds donated by Wayne and Loydine Kranz. 
·        Flags - Paul will purchase new American flags.
·        Water on Floor – Paul found water on the floor back by the furnace room.  Committee members have determined that it was most likely from the heavy rains and a clogged drain, not a foundation problem.
·        Music Director Office – Custodians will be notified that trash needs to be removed weekly from the office.  Also, basic sweeping and dusting needs addressed, including the windows.  The location of the key to the office will be provided to the custodians.
·        Excess Items – Grace Cox-Johnson, music director, has marked some miscellaneous items that are not needed for her office.  Bobby will remove them and place them in a location for committees to examine and determine if they are needed.  Any unneeded items will be placed in the upcoming rummage sale.
·        Clutter – Pastor Pat has asked the committee to address the clutter behind the sanctuary, including unused books on the shelves, a ladder, and banners.  Many of these items have been stowed in this area and could cause a hazard for people walking through.  There is concern that the banners will fade in the sunlight, and the shelves could be used for other uses.  Our committee will wait for Pastor Pat to determine which books remain here at BRPC and which ones can be given away or sold at the rummage sale.
·        Prayer Room/Library – Pat has asked that our committee explore space for a prayer room/library.  Our committee discussed the current library space outside the nursery. 

Building Use Requests:
·        The following building use requests were approved:  3 CE Movie Nights in summer; VBS; Traveling Day Camp; Rummage Sale; Kranz’ 60th Wedding Anniversary Celebration, Alex Banks’ graduation party.

A discussion about building use requests was held after it was brought to the committee’s attention that, even though rooms have been reserved and approved for use, other groups are still making plans to use the same space without going through the proper channels.  Our committee requests that everyone wishing to use space for an event please submit a building request form, which may or may not be approved (depending upon circumstances).  After approval, Property Committee will place the event on the calendar.  To avoid conflicts, it is suggested that groups submit a building request form as much in advance as possible.  Guidelines for building use will be reviewed in the upcoming newsletter.

 Pastor Pat and Elyse Jackson also attended briefly.

Bobby Neal opened the meeting with prayer.  Minutes of the 3-1-16 meeting were approved.

Old Business: 
·         Easter Breakfast review – Thanks to all who helped out, and blessings to all who attended.  The food and company were exceptional.  A discussion of where duties fall, such as purchasing of food, setting up the fellowship hall, cooking, clean up, etc. was held.  Although some things are laid out in notes in our committee files, there is no understanding who, where, and by what means.  Next year will be planned more in advance with these things in mind.
·         Alarm System additions – Gary and Christi cited time as an issue and will be pursuing the matter with estimates and information in the coming months, but there was no report at this time. 
·         Brightergy/Sunny Portal – Information from Sunny portal indicates a typical year so far.
·         South Fence Repair - Supplies are gathered, and the Scouts are on board with the project.
·         Narthex Information Screen – Pastor Pat handed off the project’s specifics to Bill Melewski and Bobby Neal.  Several options are being assessed, and wiring for power and communication has been made ready.
·         Handrail at South Entrance - Special thanks to Gary for work done thus far to the rail, and he will be repairing the cement as his time allows. 
·         Roof and Ceiling – Some new evidence of needed roof repairs has been observed, and we are to get estimates and bids for roof repair as Gary and Paul have time.

New Business:
·         Donations – Property Committee approved the hasty request from CE to store some large items that will be offered at the upcoming BRPC rummage sale.
·         Lawn Mower – As the riding lawn mower was mysteriously out of commission, plans were discussed about procuring a replacement.  (4-10-16 note: the mower was repaired with a fuse.)

Building Use Requests:
·         A CE request for a Movie Night event that raises funds for the Heifer Project was approved for later in the week.

II.        Items to be voted upon or needing discussion by Session:  The Property Committee gratefully acknowledges and thanks Paul Luce for his time and service on this committee.  We wish him all the best as he and Sue move to Texas to be closer to family.

 Bobby Neal opened the meeting with prayer.  Minutes of the 2-2-16 meeting were approved.


Old Business: 

·         Yoga - As per meeting and discussion with Janet T. Jackson, yoga is now using Rooms 1 and 2.  Bobby will inform deacons of the need to have the tables and chairs moved before each Saturday and replaced before each Sunday morning.  Bobby has been handling it thus far. 

·         Alarm System - No report at this time. 

·         Brightergy/Sunny Portal - No report.

·         South Fence Repair - This will be an Eagle Scout project, most likely in November. 

·         Pulpit/Lectern Lighting - Bill Melewski has met with Progressive and other contacts.  Situation will require more lighting and electrical needs than first thought.  Bill will continue to research.

·         Narthex Information Screen - No report.

·         Handrail at South Entrance - Special thanks to Gary for work done thus far. 

 New Business:

·         Donations - Paul and Sue Luce have an electric 14" snow blower to donate to BRPC, and the committee gratefully accepts the almost new handy device and time saver.

·         Easter Breakfast - Initial plans were made for the Easter Breakfast, including cooking and serving.  Food items need to be purchased.  Bobby will contact Sally.

·         TLC Day at Heartland Camp - Saturday, April 30.  All are encouraged to help.

·         Blog - Paul Luce transferred blog entry duties to Bobby.


Building Use Requests:

·         Confirmation classes through 5-15; 3-25 to 3-26 Youth Retreat; 4-15 to 4-16 Confirmation Retreat; 4-30 A Taste of Italy Spaghetti Dinner; October sale/November distribution of Tippin's Pies; November sale/December distribution of fruit - ALL WERE APPROVED.

possibility of replacement in some areas.

Members present: Paul Luce, Christi Neal, Gary Oberlander, Paul Vance, John Starcke, Bob
Lockwood, and Bobby Neal, Moderator. Pastor Pat also attended.

Pastor Pat opened the meeting with prayer. Previous minutes and agenda were approved.

Building Usage: Janet Jackson’s yoga class in the upstairs movie room was discussed with
needs of the space and the participants access to the building. Other use requests were addressed
and approved which include; Bonnie Withers sales of knitted item in the parlor, Worship’s
pancake breakfast for REAP, the Boy Scout and Cub Scout’s Blue and Gold gatherings, Cub
Scouts Pinewood Derby/Car show, and the Presbytery minutes reading requested by Avis
Odenbaugh. Items of interest such as lights and bathroom fans left on after gatherings were
detailed and will be dealt with by the mediators to those groups.

Old Business:
 Roof Leaks* – The need for serious roof repair is apparent. Paul Vance will continue to
monitor and band-aide the roof leaks as well as possible, while waiting for the Spring
time availability of professional roofer(s) to estimate repairs.
 Snow and Ice Removal – Light snows and cold have been addressed as needed. Ice melt
and shovels when needed are available in the closet next to the nursery entrance.
 Door Fobs – Gary and Christi will be resolving the issues with fobs with Lock Doctor in
the next week.
 Presbytery Meeting - All arrangements are on time and being handled with Gary
Oberlander as liaison.
 Solar Panel systems – The information given by Sunny Portal shows a $119 deficit for
the 2015 year. A request for reassurance of functionality and cost vs. gain appraisal from
Brightergy will be requested in the coming month. The request of moving the panels for
roof repair “in gratis” by Brightergy will be pursued as well.
 Alarm System - Needs and possible additions will be addressed by a meeting with
Progressive by Gary Oberlander and Christi Neal in the coming week. Other venders
will be sought to seek competitive bids on this important issue.
 Floor mats; - Mats to protect the carpet at the dais in the sanctuary have been donated on
a temporary basis and a new permanent mat will be purchased when needed.
 Parking Lot – Signage for public notice of our property use by general public will be
created as needed and posted. This statement will be filed with the local police
department as well as a request for incident reports by them to keep BRPC informed.
 Pulpit/Lectern Lighting – Arrangements with venders, including some Church
members, are being approached to work out possibilities.
 New Street Signage - New signs at Blue Ridge Cut-off and Blue Ridge and 63rd and
Hunter were purchased and installed.
New Business:
 Signage in Narthex – A modern video sign/screen was suggested by Pastor Pat for the
Narthex area facing the South entrance/exit to display church information and welcomes.
The modest cost would be covered by, at this point, an anonymous memorial donation.
 Handrail – The South entrance hand rail, in dire need of repair, is being addressed along
with the concrete it mounts upon, by Gary Oberlander and will be missing for a short
while. It is planned to be returned a new by the Presbytery gathering.
 Theft deterrence – With the events of an automotive theft on Sunday December 31st
from the South BRPC parking lot due to an apparent visitor taking car keys left in a coat
pocket in the cloak room; Warning signs have been placed to warn and remind all that no
valuables should be left in un-guarded areas. There has also been some petty vandalism
in the North lot and has been reported to RPD. Raytown Police assure us that they will
be making more studied and frequent passes in the future. Property will be working with
Deacons and others to help prevent such events from happening. Property asks for any
suggestions toward a safer and secure environment for our beloved house of worship.
 BRPC Clean Up day – A day and time will be chosen in the coming weeks for needed
“Spring cleaning” by volunteers and members of all ages.

Members present:  Paul Luce, Christi Neal, Gary Oberlander, Paul Vance, and Bobby Neal, Moderator.  Pastor Pat attended the meeting briefly.

Christi Neal opened the meeting with prayer.  Previous minutes and agenda were approved.

Building Usage:  Janet Jackson will fill out an extended use request regarding a gentle yoga class to take place in the parlor area; she will lead the class.  She would like to start in early February.  Sessions will be set for 10 am-11:30 am Saturdays.  Bobby Neal will begin an e-mail conversation with Property members to discuss the request so that a recommendation may be made at the January Session meeting.

Old Business:  
·         Roof Leaks - Paul Vance will conduct evaluations by a professional roofer as time and weather permits.  He continues to monitor.  Note: At the time of this writing, leaks above the choir room and elsewhere have increased greatly do to accumulation of rain and snow. 
·         Snow and Ice Removal - Plowing and salt services for the parking lot were reviewed and are in place.  The cost per event will be less than last year. 
·         Door Fobs - Sharon Schroer has experienced difficulties in programming.  Gary Oberlander will consult with Lock Doctor to correct the issues. 
·         Shredding - 25 boxes containing old documents were shredded far under the expected cost.   Documents verifying the shredding are on file.  Thanks to Paul Vance and Paul Luce for their time and effort. 
·         Brightergy - No Sunny Portal report for the month of December was available.  The year cost vs. savings as of November's end was only $7.35 more owed than saved.  Bobby will have the report at next month's meeting. 
·         Alarm System - Needs and possible additions will be researched by Gary Oberlander and Christi Neal.
·         BRPC Manual of Operations - Gary Oberlander will confer with Pastor Pat and have info available for Session to approve.
·         Grab Bars - New grab bars have been installed in the downstairs bathrooms.  Faucets with leaks will be corrected by Paul Vance and Gary Oberlander as time permits.

New Business:

·         Lighting of the Pulpit and Lectern - On behalf of Tech Ministry Team, Bill Melewski has met with Progressive.
·         Lighting Repairs - New lighting fixture parts were provided free of charge by Hoot Mann along with some professional instruction.  These parts were used to revive some tattered light fixtures. 
·         New Street Signage - New signs at Blue Ridge Cut-off and Blue Ridge and 63rd and Hunter were approved with a cost under $200. 
·         Use of Property Signage - With the first snow fall of the year and neighborhood residents and guests parking in the south lot, there was discussion with a Raytown Police officer on legalities of the police interceding, if necessary, to have the lot cleared by local code enforcement.  BRPC learned of activities taking place on our property where the police have been called and at least one arrest was made.  Property Committee voted to have a posting of rules/regulations so that officers could take action, if the need arises.  Police would have contact numbers.  A proposed rough draft of what will be posted has been written and given to Pastor Pat and will be discussed for edit in the next Session meeting. 
·         Aluminum Recycling - Bob's shed has produced $145.04 in recycling income over the year of 2015.  Thank you to everyone who has contributed.  Bob Fray requested removing the lock, but the majority of the committee believes it is still necessary at this time. 
·         Fellowship Hall Floor - Gary Oberlander will have the Fellowship Hall floor stripped and polished before the Presbytery meeting in February. 
·         Hand Rails and Concrete - Hand rails and the concrete holding them at the South entrance are in need of replacement.  Paul Vance will get info and/or a bid.

Bobby Neal opened with prayer. 

OLD BUSINESS: 1) South fence will be repaired as weather permits, materials have been purchased. 2) Christi Neal will contact a provider for snow removal this winter. 3) Paul Vance and Paul Luce will be taking documents to shred in the month of January. 4) Elevator to be inspected in the coming week (Paul Vance). 5) Christi and Gary are awaiting return information from the upgrading the intrusion alert system.  The alarm system is currently working correctly.  6) Gary Oberlander is finished with the Property portion of updating the BRPC Manual of Operations and plans to submit to Session this month.  7) Sally Ingram will be identifying and collecting door fobs that are in possession of those that may not need them.  8) Property budget has been included in the Budget committee’s proposal due at Session this month.

NEW BUSINESS: 1) Building requests for Boy Scout and Cub Scout events submitted and approved. 2) Sally Ingram will call people on the fob and attempt to collect them if not being needed by those individuals. 3) We received another letter from the Water Company advising us of a rate increase next year. 4)  Our report from BrightErgy has not arrived yet.  So no information for November yet.  5) Gary Oberlander and Bobby Neal are working on a better grab bar for a downstairs bathroom(s).  6) Paul Vance will work on getting a replacement flag (or two) for the currently tattering Christian flagpole flag.

    PROPERTY COMMITTEE MINUTES NOVEMBER 3,2015

Members Present: Bobby Neal, John Starke, Paul Vance, Gary Oberlander, Bob Lockwood, Paul Luce and Sally Ingram

Paul Vance opened with prayer. 

OLD BUSINESS: 1) heaters have been purchased and are now in areas needed. 2) several donations were recognized including a pool table, refrigerator and file cabinet. 3) South fence will be repaired as weather permits, materials have been purchased. 4) Eagle project to replace trash container enclosure is complete.  5) Christi Neal will contact a provider for snow removal this winter. 6) Paul Vance has determined we will have approximately 40 boxes to shred, the congregation is still invited to bring in personal files, we will call and set up a date to bring these to ProShred.

NEW BUSINESS: 1) Building request for 90th birthday celebration for Jane Nutt on November 28th. from 9-3pm using Fellowship Hall was approved. 2) Paul Vance will follow up on our annual elevator inspection due in December. 3) Sally Ingram will call people on the fob list to see if they are still needing theirs. 4) we received a letter from the Water Company advising us of a rate increase next year. 5)  our report from BrightErgy for October shows we are slightly ahead in savings for this year. 6)  we are having multiple power outages at the church and this is affecting our Security/Fire Alarm System so Bobby Neal is addressing this issue.
